How to use SMS Messaging and create message templates

This Help Article covers:

SMS stands for "Short Messaging Service".

SMS Messages are limited to 320 Characters.

SMS Messages are sent in blocks of 160 Characters, each block of 160 characters consuming 1 (one) SMS Credit.

To Enable SMS Messaging

To use the SMS Messaging feature you need to Enable the SMS Messaging feature, to do this go to: Company Settings > Correspondence > SMS Settings Expandable Section, then Tick “Enable SMS" to display the SMS Settings options.

To Purchase SMS Credits

Following Enabling the SMS Messaging feature, you need to Purchase SMS Credits, Press the [PURCHASE CREDITS] button of the SMS Settings to display the “My Account Addons” popup

SMS Credits are purchased in blocks of 100. To Purchase, from the “My Account Addons” popup, Press the + or – button to increase/decrease the SMS Credits being purchased, then Press the [PURCHASE ($XX.XX)] button to purchase

Enter the Payment details and follow the prompts to complete the transaction

💡 TIP: Pressing the Transactions Tab displays the history of your SMS Credit purchases, here you can also Press "Invoice" to view the invoice for the transaction.

To Enter/Edit SMS Messaging Templates

⚠️ NOTE: Bracketed Insert Variable Text (text within braces { } ) is used to pull system text into the wording, it is recommended not to delete or change this (I.E. wording such as: the Company Name, the Logged-in User's Name, Quote’s Description, Date etc)

Quick Flow:

  • Company Settings Side Menu

  • Correspondence Top Tab

  • SMS Settings Expandable Section

  • Type Templates Tab

  • [ADD]

  • Name*

  • Template Text

  • [SAVE]

1. From the Side Menu, Press Company Settings, then Press the Correspondence Top Tab to display the SMS Settings Expandable Section

2. From the SMS Settings Expandable Section, Work across the SMS "Type" Templates Tabs (Job, Customer, and/or Booking Templates), then Press [ADD] to display the "New XXXX Wording" Template popup for the selected Type

⚠️ NOTE: The Common Settings Tab is where you find the “Enable SMS” Tickbox to enable/unenable the SMS feature.

3. From the "New XXXX Wording" Template popup, Enter a Name* for the SMS Template, then Enter the Template Text

💡 TIP: Templates can be edited to suit requirements when sending, build a Template that contains the information you may want to send or receive back. For a Job, insert the auto-populate template text {!JobNumber} into the SMS. I.E. "If replying, please quote Job Number {!JobNumber}".

4. When finished [SAVE]

To Send an SMS Message

⚠️ NOTE: When sending an SMS Message, you can only select from the "To" field Contacts of that Customer with a Mobile Phone number entered.

⚠️ NOTE: When using the SMS Message feature, we utilize a shared short code to deliver your messages. Due to the nature of shared short codes, we cannot guarantee that all replies from recipients will be routed back to your account. In some cases, replies may not be received or may be delayed. We advise either including "Do not reply" in your wording templates or adding your mobile number so they can respond to you directly.

From a Booking:

1. Add Booking to the Schedular, Press the Booking to expand, then Press the Send SMS Icon to display the Send SMS popup

2. From the Send SMS popup, Select a To* Mobile Phone number, then either from the Template dropdown, Select an SMS Template OR key in a Message*

3. Press [SEND]

💡 TIP: Following sending an SMS Message from a Booking, the Send SMS popup of the Booking will display that a message has been sent previously, Press [VIEW] to see the sent SMS message.

From a Job or Customer:

1. From the Job or Customer Window's Correspondence Top Tab's SMS Expandable Section, Press [SEND SMS] to display the Send SMS popup

2. From the Send SMS popup, Select a To* Mobile Phone number, then either from the Template dropdown, Select a Template OR key in a Message*

3. Press [SEND]

💡 TIP: Following sending an SMS message from a Job or Customer, the sent SMS Message will display in the List view of the SMS Expandable Section of that Job or Customer, first with a "Sent" status, then when delivered a "Delivered" status.

💡 TIP: Should a Customer reply to your SMS Message, their reply will display in your notifications OR Click on the sent SMS Message to launch the "SMS to XXXX" popup where you can view any replies.

Where to find Sent SMS Messages

From the SMS List:

All SMS Messages sent from Katipolt display in the SMS List view of the Side Menu

Hover over the Side Menu’s “More” Tab to display the options, then Select option “Correspondence” to display the correspondence Lists

Press the SMS Top Tab to display a List of all SMS Messages sent.
