This Help Article covers;
There are 2 Access Levels for Users;
Katipolt Mobile Only – No License required (the default), Users can access the Katipolt Mobile App only
Katipolt and Katipolt Mobile – License required, Users can access Katipolt Desktop and the Katipolt Mobile App
⚠️ NOTE: New Staff Members are created with an Access Level that allows them by default access to Katipolt Mobile App only. They can download the Katipolt Mobile App, enter their Username (their entered email address on their Staff Profile) then follow the prompts to set up a Katipolt, Google or Microsoft Account to log in.
⚠️ NOTE: If you want a Staff Member's Access to include Katipolt Desktop and its features, you will need to change their Access Level to "Katipolt and Katipolt Mobile", for more information on this, see the Help Article "Staff Access Level Desktop (Allow - Remove)"
Staff Members are allocated to a "Role" which sets their Permission Level to access and use certain features of Katipolt, I.E. Katipolt Mobile Only or Katipolt and Katipolt Mobile
⚠️ NOTE: Permission Levels are only valid/restricted to the Staff Member's Access Level (I.E. Katipolt Desktop permissions do not apply if the User's Access Level is Katipolt Mobile Only).
To Add or Edit a Staff Member

1. From the Side Menu, Press Company Settings
2. From Company Settings, Press the Staff Top Tab, to display the Staff Expandable Section
3. From the Staff Expandable Section, Press the [+ADD] button to display the NEW STAFF MEMBER Page
⚠️ NOTE: Fields with a red asterisk “*” are compulsory and must have an entry before you can Save.
4. Work through the fields entering the new Staff Member's details
⚠️ NOTE: Not entering data into some fields may affect the functionality of some Katipolt features.
5. When finished [SAVE].
Staff Member Profile page fields
Email* – Creates the Staff Member's Katipolt Username
Labour Shortcode* – Needs to be a unique 2-3-digit Alpha Code (letters only, no numerals). This will be added to the Katipolt Timesheet Codes to give the Staff Member unique "Labour Product Codes" for their Timesheets
Signature Image - If creating documents, will upload to the documents (I.E. Quotes, CoC's, ESC's, and Forms)
⚠️ NOTE: Image Uploads can be .jpg, .gif or .png format.
The following allows the User to create/signoff CoC's and ESC's;
User Type* - "Electrician" or "Inspector"
Registration License Number – Used to populate on CoC and ESC documents, and on the ESC's of Customer Sales Invoices
Practicing Licence Expiry Date – If current allows the User to "Add" or "Sign Off" CoC's or ESC's
Practice License - Image Upload, Reference information
💡 TIP: Don't forget to Upload their Signature to display on CoCs and ESCs.
⚠️ NOTE: Image Uploads can be .jpg, .gif or .png format.
The following are used to calculate Costs and Sell Prices of the Staff Member's Labour;
Pay/Overtime Rates Cost* – Used to calculate the Sell Price of the Staff Member on a Sales Invoice when "Margin" is selected for the Product Category "Katipolt Staff Labour Per Hour" on a Pricing Rule, ALSO used to calculate the Staff Member's Cost for Profit & Loss Reports
Pay/Overtime Rate Trade* - Used as the Sell Price of the Staff Member on a Sales Invoice when "Trade" is selected for the Product Category "Katipolt Staff Labour Per Hour" on a Pricing Rule
The following allows the User to Log in/Not Log in and use/not use features of Katipolt Desktop and/or Katipolt Mobile;
Active – When ticked the Staff Member CAN log in to Katipolt / when unticked the Staff Member CAN'T log in to Katipolt (I.E. has left employment)
Role - Sets the Permission Level of the Staff Member to access and use features once logged in to Katipolt
The following Does/Does Not display the Staff Member on the Scheduler to allow Bookings
Visible on Scheduling - When ticked the Staff Member DOES display on the Scheduler (bookable to Jobs) / when unticked the Staff Member DOES NOT display on the Scheduler
To Calculate the Pay/Overtime Cost
1. Press on the Open Recovery Rate Calculator Icon of the “Pay Rate Cost*” or "Overtime Rate Cost*" field to launch the Recovery Rate Calculator
2. From the Recovery Rate Calculator, Enter;
“Pay Rate/Hour” (Staff Members actual Pay Rate),
“Kiwi Saver” percentage,
“ACC Levy per $100”, and
“Productivity”
3. When finished, Press [ACCEPT]
⚠️ NOTE: The "Pay Rate Cost*" field will display a "Rule of thumb" "Pay Rate Cost" for the Staff Member. This will be used when calculating Profit & Loss Reports.
💡 TIP: If the Person entered is a Contractor and Leave, Kiwi Saver etc do not apply, do not use the Recovery Rate Calculator, enter their Charge Rate directly into the "Pay Rate Cost*" field.
