How to add a Job

General/Overview:

Jobs display in the Jobs Lists of the Side Menu's Jobs Tab (All Jobs) and in a Customer Window’s Jobs Top Tab (All that Customer's Jobs).

There are two types of Jobs:

  • Charge Up Job - The default when a Job is added. Billed using a Sales Invoice, (a list of Labour and Materials)

  • Quoted Job - A Job that has had a Quote added. Billed when the Quote is Accepted using a Progress Claim, (a % or $ value of the Quote Amount)

💡 TIP: From the Job you can;

  • Add a Quote – See the article "Quote (Add - Edit)"

  • Add Sales – See the articles "Sales - Charge Up Jobs - Sales Invoice (Add - Edit)", "Sales - Quote Jobs Progress Claim (Add - Edit)" or "Sales - Customer Credit Note (Add - Edit)"

To Enable a User to Add or Edit a Job

For a User to be able to Add or Edit a Job they need to be enabled on the Katipolt Desktop side. To do this they need to be added to a Katipolt Role with permission “Add/Edit Jobs” toggled to "On".

Company Settings > Staff Top Tab > Roles Expandable Section > Select a Role that displays Katipolt “Add/Edit Jobs” toggled to "On" OR from a Role toggle it to "On" > then select the person from the “Assigned To” dropdown to add

⚠️ NOTE: Toggling "Add/Edit Jobs" to "On" also toggles "View Jobs" to "On". You can Toggle just "View Jobs" to "On" which allows a User to View Jobs, but not Add or Edit a Job.

To Add a new Job

Adding a Job is done from the Jobs List's [+ADD] button.

💡 TIP: To Add a new Job, the Customer must be entered as a Customer. For more information on this see the article "Accounts - Customer (Add - Edit - Remove)".

Quick Flow:

  • Jobs Side Menu

  • [+ADD]

  • New Job Window

  • Customer*

  • Job Details

  • Brief Description

  • Full Job Notes (Optional)

  • [SAVE]

1.  From the Side Menu, Press Jobs, then from the Jobs List, Press the [+ADD] button to display the New Job Window

2.  From the New Job Window's "Job Details", Select a Customer* from the Drop-Down to display the New Job Window's expanded "Job Details" Section

💡 TIP: Start Keying in the Customer’s name to display options, then select from the options when the Customer displays.

3.  From the expanded "Job Details" Section, Check/Select the Job Details, Enter a Brief Description and Full Job Notes (Optional)

⚠️ NOTE: Fields with an “*” are compulsory fields.

4.  When finished [SAVE] to add the new Job and display the Job: XXXX Window

To Select a Job Site/Address

Selecting a Job Site/Address is done from the "Job Site/Address" field of the Job.

Selecting a Job Site/Address can be done two ways:

  • Launching the Address Finder, or

  • Selecting from the List of Locations (Sites)

💡 TIP: Before a Site can be selected, it must have been entered as a Site on the Customer's "Sites" Top Tab.

1. When adding a Job, from the "Job Details" Section, from the "Job Site/Address" field, either:

  • Press the Address Finder Icon to launch the Address Finder

  • Enter an Address to Search field to Search, or

  • Manually key in an Address

OR

  • Press in the "Job Site/Address" field to display the Expand More Options Icon,

  • Press the Expand More Options Icon to display a List of entered Sites

  • From the options Select a Site

Job "Tick" Options ("More details" Section)

  • High Priority - Job displays in the "High Priority" list on the Scheduling Calendar's “Jobs Pool” (Top of the List)

  • Quoted / Ongoing - Job by default lands on the Scheduling Calendar as an 8 hour booking

  • Flag future costs as non-billable - Cost allocated to the Job do not display in Work in Progress (WIP) reports

  • Retentions Apply - "Retentions" Expandable Section displays in the Job's "Sales & Costs" Top Tab

To Print a “Job Sheet”

   1.  From the Job: XXXX Window, Press the “More” (3 dots) menu and Select the option "Print job sheet" to display the Job Sheet PDF.  From the PDF Window Press [Print]
