How to create a CoC or ESC

This Help Article covers:

The Job’s CoC/ESC's display in the Job’s Correspondence’s Top Tab “Certificates” Expandable Section OR ALL single document CoC/ESC’s display as a List in the Side Menu’s "... More" > Certificates Sub-Menu

The CoC/ESC once locked are available as an attachment of the Job's “Sales Invoice” or “Progress Claim” emails.

For a User to be able to Add a Certificate of Compliance (CoC) and/or Electrical Safety Certificate (ESC) they need to be a User Type "Electrician" or "Inspector" and have a Practicing Licence Number and current Practicing Licence Expiry Date entered.

Company Settings > Staff > Staff Profile, Select "User Type", then Enter "Practicing Licence Number" and "Practicing Licence Expiry Date" (Don’t forget to upload a “Signature Image” in the "More details" section to display on the Certificate)

To Add or Edit a CoC OR ESC

Adding or Editing a CoC OR ESC is done from a Job Page’s Correspondence Top Tab’s "Certificates" Expandable Section.

Quick Flow:

  • JOB: XXXX Page

  • Correspondence Top Tab

  • Certificates Expandable Section

  • [+ADD]

  • CoC/ESC Details

  • [SAVE]

  • [LOCK]

1.  From a JOB: XXXX Page, Press on the Correspondence Top Tab, then Press the Certificates Expandable Section

2. From the Certificates Expandable Section Press the [+ADD] button  to display the "Select the Certification Types" popup, Select Type and Press [CONFIRM] to display the NEW COC/ESC Page

3.  From the NEW COC/ESC Page, Enter the CoC/ESC Details into the required fields

⚠️ NOTE: If an ESC, the Electrical Work Information Section's "Name*" also needs to be entered into the Electrical Safety Certificate Section's "Name" field.

⚠️ NOTE: “Name” field Expand More Options list only displays Staff with a “Certification Level”: “Electrician” or “Electrical Inspector”. “Name of person(s) being supervised” field Expand More Options list only displays Staff with a “Certification Level”. Staff “Certification Level” > “None” will not display. For more information on this see article "Staff (Add-Edit)".

💡 TIP: Pressing the Launch button on the “Work Done” field launches the Work Done Notes From Site Popup where any Site Notes/Comments can be copied over to the Work Done field.

4. Press the [SAVE] button to save your CoC/ESC

5. When you are satisfied with the CoC/ESC, Press the SAVE button's drop-down and select [LOCK] to lock the CoC/ESC

⚠️ NOTE: The CoC/ESC belongs to the Certifying Staff Member and can only be Locked or Unlocked by that person.

Following [LOCK] the [PREVIEW & SEND] button will display where you can view your CoC/ESC PDF

💡 TIP: You can display the Company Logo on a single document CoC or ESC. From the “Defaults” top tab of Company Settings, expand the “Certificates Previews” Expandable Section then Tick “Show Plan Title Block Logo on COCs”.

To Add Attachments to a CoC/ESC

Images/Photos can be added as attachments to a CoC/ESC prior to Locking. Attachments to a CoC/ESC remain attached to that CoC/ESC until removed.

⚠️ NOTE: CoC/ESC Attachments are limited to 5 Images/Photos per CoC/ESC.

From the CoC/ESC, Press [ATTACHMENTS] then Select “Attach new file” OR “Browse existing files” to add attachments:

  • Attach new file – Navigate to external files to select

  • Browse existing files - Select from files preloaded/saved to Katipolt Files

⚠️ NOTE: CoC/ESC with attachments when emailing send as a zipped package containing the CoC/ESC and up to 5 attachments (Images/Photos).

To Find a CoC/ESC

From the Job;

  • Individual CoC/ESC’s created on a Job display in the Job’s "Correspondence" Top Tab's “Certificates” Expandable Section

  • ESC’s created on a Job’s Sales Invoice display on the Sales Invoice only and can only be found by opening the Sales Invoice

From the Certificates List:

  • Hover over the Side Menu’s “More” to display the options, then Select “Certificates” to display the Certificates List

💡 TIP: To find a CoC/ESC, from the Certificates List, use the [Refine] Filter’s “Search text” field and key in the Address the CoC/ESC is related to.
