How to add a Variation to an Accepted Quote or Accepted Variation

⚠️ NOTE: When you offer a Quote to a Customer, and that Customer Accepts that Quote, this forms a legal contract between your Company and that Customer, "Quote Variations" provide a documented record of changes to that legal contract.

A Variation (Variation Order or VO), is any change in the scope of the accepted Contract Works that includes any:

  • Increase or decrease in the quantity of any work,

  • Omitted work,

  • Change in the character or quantity of any Material or work,

  • Required additional work to be done, or

  • Change in the level, line, position, or dimensions of any part of the Contact Works.

For a Quote Variation to be added, the Quote must have been accepted.

On adding a new Quote Variation, all previous Quantities of a Manual OR Plan Section zero to give a “Variation Qty” of zero. Editing the Qty's of a Manual Section OR Adding/Deleting Kitset Icons on a Plan Section creates the Variation.

Multiple Variations can be added to a Quote at any time, being in the status “Draft” or "Locked", and being individually "Accepted" in any order.

⚠️ NOTE: Be sure that everything is correct with the Variation before Accepting, as after Acceptance, if another Variation or a Progress Claim is added, you will NOT be able to Unaccept the Variation to further edit.

💡 TIP: A Variation does not need to be for the Customer of the Accepted Quote (I.E. where the Variation is to the Home Owner, not the Builder), you can change the Customer* on the Variation when adding the Variation. When claiming, create the Progress Claim, then change the Customer on the Progress Claim to Customer of the Variation.

To Add a Quote Variation

Adding a new Quote Variation is done from the Job Window's Quotes Top Tab OR from the last accepted Quote/Variation Window.

Quick Flow:

  • [CREATE VARIATION] Job's Quotes Top Tab

  • OR

  • [+NEW VARIATION] Accepted Quote or Last Accepted Variation

  • Description

  • [SAVE]

  • Edit

  • [SAVE]

1. From a Job Window's Quotes Top Tab, Press the [CREATE VARIATION] button to display the VARIATION: XXXX.X Window

OR

From the Accepted Quote or last Accepted Variation Window, Press the [+NEW VARIATION] button  to display the VARIATION: XXXX.X Window

2.  From the VARIATION: XXXX.X Window's Details Section, Check/Edit the editable fields; “Description”, “Default Brand*”, “Quote Contact*”, “Price Rule Book*” etc, then Press [SAVE] to save any editing.

💡 TIP: The Quote Variation Description populates with the last Accepted Quote/Variation Description, so change it to suit this Variation. The Quote/Variation Description populates the Quote Variation PDF and the Variation line of a Quote's Progress Claim.

3. Build the Quote Variation, the Quote Variation can be Built by using one OR a combination of the below methods:

  • Editing an existing Manual Section - Editing the existing Kitsets, Products, and/or Quote Lines "Variation Qty" of "Previously used lines", and/or Adding new Kitsets, Products, and/or Quote Lines and entering a "Variation Qty" (positive or negative value)

  • Adding a new Manual Section - Adding a new Section and Kitsets, Products, and/or Quote Lines and entering a "Variation Qty" (positive or negative value)

  • Editing an existing Plan Section from Visbuild - Adding/Deleting Kitset Icons and/or Quote Lines

  • Adding a new Plan/Section to Visbuild - Adding a new Plan/Section and Kitsets Icons and/or Quote Lines

  • Combination of the above

⚠️ NOTE: You cannot toggle Sections "Off" on Variations where the Section was Accepted on a previous Quote or Variation.

To Edit an existing Manual Section

From an expanded Accepted Manual Section, either:

Edit an Existing Kitset, Product, and/or Quote Line Qty;

1. Press Show to display the hidden Previously used lines

2. Following Pressing Show, to Edit a Previously used line, Press the line’s “More” (3 dots) menu and Select the option “Unlock” to allow editing of the “Price” and/or “Variation Qty”

⚠️ NOTE: Brought forward accepted Kitsets/Products will display the Accepted “Price”. New Kitsets/Products added will display a "Price" using the current "Cost" and selected "Price Rule Book" for the Variation.

OR

Add a new Kitset, Product, and/or Quote Line;

1. Enter a Kitset/Product Code into the "Search kitsets/products..." field to add a new Kitset/Product

⚠️ NOTE: If you Add a new Kitset/Product that has previously been used in the Section, you will be directed to “adjust the quantity accordingly”, even if the Kitset/Product lines are hidden. Press "Show" to unhide, then "Unlock" and edit the Quantity.

To Add a new Manual Section

Add a new Manual Section and new Kitsets, Products and/or Quote Lines. For more information, see the Help Article: "Quote - Manual Sections (Add - Edit)".

To Edit an Existing Section Plan from Visbuild

Open Visbuild and Add/Delete Kitset Icons, and/or Quote Lines as required to build the Variation.

To Add a new Plan/Section to Visbuild

Add a new Plan/Section and new Kitset Icons and/or Quote lines. For more information, see the Help Article: "Quote - Plan Sections from Visbuild (Add - Edit)".

To Edit a Plan - "New Floor Layout"

Sometimes the Customer Accepts a Quote, then they update the Layout of the Floor Plan.

The best way to deal with this is to open the Section/Plan(s) that has changed, then Drag & Drop the new Plan into the window to swap the Plan.

The Plan will change and each Kitset Icon/Quote Line/Text Box will remain (maybe not quite in the same locations relative to the new Plan).

Do not delete the Kitsets Icons/Quote Lines, but Drag & Drop them to the new locations. Once existing Kitsets Icons/Quote Lines are moved, any redundant Kitsets Icons/Quote Lines can be Deleted, and any new required Kitsets Icons/Quote Lines Added.

⚠️ NOTE: If there are No Kitset/Quote Line Adds/Deletes, give the Variation a Description like "Replace Plan, New Floor Layout Only", then Save, Lock and Accept the Variation. As the Variation is a "$0" Cost Variation, it will not display on future Progress Claims.
