This Help Article covers;
If a Job has an Accepted Quote, on [+ADD] from the Sales/Payment Claims Expandable Section, Katipolt will display a Progress Claim Page.
⚠️ NOTE: If the Quote is NOT Accepted, OR the Quote has been Saved as an Estimate, a Charge Up Sales Invoice will display on [+ADD].
Progress Claims by default are Payment Claims and display the Payment Claim text.
⚠️ NOTE: If your Progress Claim is to have Retention's held, before you create a Progress Claim, go to the Job Page, then Tick the “Retentions Apply” tick-box to display the Retentions Expandable Section in the Job Page's Sales & Costs Top Tab.
💡 TIP: Individual or multiple Variations of a Quote can be billed to another Customer however the costs of the Variation remain on the Quoted Job.
💡 TIP: Before doing a Progress Claim, go to the Job's Reports Top Tab to view the "Actual Cost" to date to ensure that when claiming you are not under-claiming, and, don't forget to add your Margin when claiming.
To Add or Edit a Quote Progress Claim
Adding or Editing a Progress Claim is done from a Job Page’s Sales & Costs Top Tab.

1. From the JOB: XXXX Page, Press the Sales & Costs Top Tab, then Press the Sales/Payment Claims Expandable Section to expand and Press the [+ADD] button to display the New Payment Claim Page
2. From the New Payment Claim Page Check/Edit the Payment Claim Details, including the “Payment Claim From*” and “Payment Claim To*” Dates
3. From the Progress Claim Lines Section, Enter in either a % Complete OR Claim To Date ($) value for any displaying Quote Sections or Variation Lines you want to claim
⚠️ NOTE: Enter the % OR $ Value to the full value of the Progress Claim you want to make. Not the % OR $ Value you want to increase the Progress Claim by.
4. When you have completed building your Progress Claim, Press [SAVE] OR from the Save dropdown select option [Lock]
[SAVE] – You can continue editing at a later time
[Lock] – Locks your Quote Progress Claim, and if you have a valid Xero connection, it sends the Quote Progress Claim to Xero

To Select/Edit the Display of a Progress Claim PDF
You can display the individual Sections of a Quote on your Progress Claim so the Customer can see the $/% being claimed for each Section of the Work.
1. Press the Progress Claim's [PREVIEW & SEND] button to display the Payment Claim Preview popup, then Press the Settings Icon ⚙ to display the Payment Claim Preview Settings popup
2. From the Progress Claim's Payment Claim Preview Settings popup, Edit to suit, then Press [OK] to save and return to the Payment Claim Preview popup
⚠️ NOTE: "Format by section" only applies to the Quote, Variations display as 1 line.
⚠️ NOTE: The settings are remembered for the logged-in User, I.E. other Users may have different settings. The current settings will be used for the next Progress Claim, any editing carried forward to the next Progress Claim, and so on.
To Email your Progress Claim
1. From the Payment Claim Preview popup, Press the [EMAIL] button to display the EMAIL popup
2. From the EMAIL popup, Enter/Edit the Email fields then Press the [SEND] button to send the Email
⚠️ NOTE: The [EMAIL] button will not liven until the Progress Claim has been Locked and if you have a valid Xero connection, the Progress Claim has synced to Xero, and the Xero/Katipolt Total is confirmed.
💡 TIP: To re-send the Progress Claim, repeat the steps above.
To Attach a File to your Email
1. From the EMAIL popup, Press [ATTACHMENTS] then Select “Attach new file” OR “Browse existing files” to add attachments:
[Attach new file] - Navigate to external files to select
[Browse existing files] - Select from files preloaded/saved to Katipolt Files
To Edit the Progress Claim
Open the Progress Claim, make changes and Save again OR if the Sales Invoice has been locked, [UNLOCK], make changes then Save and Lock again.
⚠️ NOTE: You can only [UNLOCK] the current Progress Claim and then only if it is not "Paid". I.E. Previous or "Paid" Progress Claims cannot be Unlocked.
To change Customer on a Quote Progress Claim
If you need to change the “Customer” on a Progress Claim that is in Draft or Locked (first Progress Claim only), you need to change the Customer on the Job Page. To do this;
“Void” the Progress Claim to restore the Quote’s [UNACCEPT] button
Press the restored [UNACCEPT] button on the Quote Page
Change the Customer on the Job Page
Press [SAVE], you will need to re-accept the Quote, then redo the Progress Claim
⚠️ NOTE: If the Progress Claim has been “Paid” you cannot “Void” the Progress Claim.
To Add an Accepted Variation to a created Quote Progress Claim
On [+Add] a Progress Claim will populate and display all Accepted Variations
While the Progress Claim is in Draft any further Accepted Variation(s) populate and display on the Progress Claim on opening
While a Progress Claim is Locked any further Accepted Variation(s) will not populate and display on the Progress Claim on opening, you need to [UNLOCK] the Progress Claim for further Accepted Variation(s) to populate and display on the Progress Claim
⚠️ NOTE: You can only [UNLOCK] the current Progress Claim and then only if it is not "Paid", previous or "Paid" Progress Claims cannot be Unlocked. Further Accepted Variation(s) will need to be claimed on the next Progress Claim.
To change a Customer of a Variation
If you need to change the “Customer” of a Variation(s) of a Quote so it can be billed to a Customer other than the Customer of the Accepted Quote, you need to change the Customer on the Variation Page and Save.
When you create the Progress Claim, the Customer will now display in the "OTHER" options of the Customer* field, select the Customer and only the Variation(s) lines for that Customer will display on the Progress Claim
