How to find and manage Unsold Costs

General/Overview:

The Work In Progress (WIP) Report displays as three parts:

  • Bar Chart - Total Unsold Costs by Month for the last 90 days OR selected period.

  • Tile - Summary of Unsold Costs for the last 90 days OR selected period displayed by the number of affected "Jobs", "Timesheets" and "Invoice Lines".

  • List View - List of Jobs with Unsold Costs for the last 90 days OR selected period.

The "List View" of Unsold Costs displays:

  • "Unallocated" Unsold Costs - 1st line (if any)

  • "Jobs" with Unsold Costs - All other Lines identified by Job Number

⚠️ NOTE: The "Unallocated" Unsold Costs Line displays Labour and/or Purchases without a valid Job Reference.

💡 TIP: Press the Arrow of the "Unallocated" Line to display a list of the Unallocated Unsold Costs, or a "Job" Line to display that Job's Unsold Costs.

💡 TIP: It is good practice to check the Work in Progress (WIP) Report regularly to identify Jobs that may need Invoicing OR Labour/Materials that may have been booked to a completed Job (the wrong Job).

💡 TIP: Work through and tidy up any Unsold Costs of Completed or Archived Jobs before you start your "In Progress" Job invoicing each Month to minimize missing any Unsold Costs.

To display the Work in Progress (WIP) Report (list of Unsold Costs)

Displaying a Work in Progress (WIP) Report (List of Unsold Costs) is done from the Reports Side Menu's "Work In Progress" Option.

Quick Flow:

  • Reports Side Menu

  • "Work In Progress" Option

1.  From the Side Menu, Hover over Reports and Select the option "Work In Progress" to display the Reports: Work In Progress Window

💡 TIP: Unsold Costs display on the Katipolt Dashboard as a Tile (if selected), the Work in Progress (WIP) Report can also be accessed by Pressing the Unsold Costs Tile.

💡 TIP: The Reports: Work In Progress Widow by default displays a list of Unsold Costs for Unallocated/Jobs “Dates: Last 90 Days”, the Report View can be Customised to suit, Press the [Refine] filter button to display the filter options for the Report, Edit to select the View, then Press [VIEW RESULTS].

To display a list of Unallocated Unsold Costs

1. Press the Arrow of the "Unallocated" Line (if one) to launch the Work In Progress: Unallocated popup to view the Unsold Labour and/or Products

2. From the Work In Progress: Unallocated popup, Press [TIDY COST] to launch the Unallocated Costs Window

3. From the Unallocated Costs Window you can "Bulk" Select Unsold Labour and/or Products and either:

  • Mark them NON-BILLABLE - Products will cease to display in future Work in Progress Reports, OR

  • REALLOCATE them- Products are re-allocated to a Job where they can be Sold

To display a list of a Job's Unsold Costs

1. Press the Arrow of a Job Line to launch the Work In Progress: Job XXXX Popup to view the Unsold Labour and/or Products

2.  From the Work In Progress: Job XXXX Popup, either:

  • Press [TIDY COSTS] to be taken to the Job's Sales & Cost Top Tab where you can tidy the Costs,

    OR

  • Press [ADD SALE] to create a Sales Invoice on the Job and Sell the Unsold Costs

💡 TIP: To prevent the nuisance displaying of unsold costs of a Job that is not going to be billed, tick the "Flag future cost as non-billable" of the Job's More Section.

💡 TIP: A list of Jobs with Unsold Costs can be Exported, from the Default or Customised View, Press the Download Icon, then Select an Export option to download the Report.
