Configuration of a Quote PDF for Submission is done from a Quote Page.
To Edit the Quote's Document Wording
1. From the Quote, Press PREVIEW & SEND to display the Quote Preview popup, then Press the Edit settings "cog" to display the Settings popup
2. From the Settings popup, enter/edit text to suit on the required page(s), then Press [SAVE]
💡 TIP: As the Quote's "Brief Description" is limited to the number of characters you can enter, the Quote's Document Wording's "Introduction Text*" is a great place to enter extended text to describe the scope of work or clarify a particular part(s) of the works.
⚠️ NOTE: Text within braces “ { } “ is used to pull system text into the wording and should not be deleted or changed (I.E. a Quote’s Name, Date, etc).
💡 TIP: Following editing, the Quote's Preview & Send popup will display "Custom" to indicate the Quote wording is not following a Document Preset.
To Add/Edit Provisional Sum Lines
1. From the Quote Page’s Lines Top Tab:
Press the Provisional Sum Lines Expandable Section to expand and display the Provisional Sums List
Press the [EDIT] button to display the Provisional Sums popup
⚠️ NOTE: If the Quote has un-save editing the [EDIT] button will not display, Save the Quote then repeat Step 1.
2. From the Provisional Sums popup;
Press the [ADD] button
Enter a Description
Enter an Amount
💡 TIP: To Add further Provisional Sums, repeat Step 2.
3. Press the [SAVE] button to save, the Entered Provisional Sum will display in the "Provisional Sums (Not included in contract price)" Section of the Quote PDF
To Select/Add/Edit the Payment Terms
1. From the Quote Page’s Settings Top Tab:
Press the Payment Terms Expandable Section to expand and display the Payment Terms List
Press the [EDIT] button to display the Payment Terms popup
2. From the Payment Terms popup, Select a Payment Term by Pressing the Radio button
3. Press the [SAVE] button to save, the Selected Payment Term will display in the "Payment Terms" Section of the Quote PDF
To Select/Add/Edit Inclusions and/or Exclusions (Tags)
1. From the Quote Page’s Settings Top Tab:
Press the Inclusions & Exclusions Expandable Section to expand and display the Inclusions & Exclusions List
Press the [EDIT] button to display the Inclusions & Exclusions Edit popup
2. From the Inclusions & Exclusions popup, Select Inclusions and/or Exclusions by Ticking/Un-ticking to make Active/Inactive
3. Press the [SAVE] button to save, the Active Inclusions and/or Exclusions will display in the Inclusions and Exclusions Sections of the Quote PDF.
To Add/Display a Discount on a Quote
1. From the Quote Totals "Floater" of the Quote Page, Enter the Discount as a Discount Percentage or Dollar value
2. Press the Quote’s [SAVE] button to save the entry, the Discount will display on the Quote PDF
⚠️ NOTE: Until a Discount is entered, the Discount Line of a Quote PDF will not display.
To Select/Edit the display of a Quote PDF
1. From the Quote, Press PREVIEW & SEND to display the Quote Preview popup, then Press the Edit Settings "cog" to display the Settings popup
2. From the Settings popup, work down the Settings popup;
Toggle "On"/"Off" the pages to Include/Not Include
Tick/Untick the display tickboxes to Show/Not Show Items and Pricing
PRINT PREVIEW TICK SETTINGS
Show Pricing Summary - Displays the Quote/Estimate/Variation Price (excl. GST)
Show Pricing Tax Inclusive - Displays the Quote/Estimate/Variation Price (incl. GST)
Show Revision Number - Displays a Revision Number on the Quote
Site file only – Displays Quote Preview selections less any financial information
Format by* – Select by "Section or "Section and Layers"
Show Section Pricing - Displays the Quote Section(s) Pricing
Show Layer Pricing – Displays the Layer(s) Pricing
Show Line Items – Displays the Quote Line Items (Kitsets, Products, Quote Lines)
Show Line Item Pricing - Displays the Kitsets, Products, Quote Line Pricing
Split By Layers - If the Plans Page is toggled on, you can display the Plans by Section Layers
⚠️ NOTE: The Revision Number only displays following the Quote being; "Emailed", "Download as PDF" or "Save PDF to files", then unlocked.
⚠️ NOTE: The settings are remembered for the logged-in User, I.E. other Users may have different settings. The current settings will be used for the next Quote, any editing carries forward to the next Quote, and so on.
Following selecting your Display Settings, the Quote can be;
Printed (displays a "Draft" watermark), or
Locked
Following Locking, your Quote can be;
Emailed,
Downloaded as PDF, or
Saved as PDF to File
To Email your Quote
1. From the Quote's Quote Preview popup, Press the [EMAIL] button to display the EMAIL popup
2. From the EMAIL popup, Enter/Edit the Email fields then Press the [SEND] button to send Email
To Attach a File to your Email
1. From the EMAIL popup, Press [ATTACHMENTS] then Select “Attach new file” OR “Browse existing files” to add attachments:
Attach new file – Navigate to external files to select
Browse existing files - Select from files preloaded/saved to Katipolt Files
To Accept a Quote
From the Quote Page;
Press the [Save] button's [Save Options] button
Select option [Accept] to display the Quote Acceptance Popup
2. From the Quote Acceptance Popup, Press on the "Quote Acceptance Date" field to display the Date Picker, then Select an Acceptance Date
3. Press the [ACCEPT] button to accept and return to the Quote Page
💡 TIP: Accepting a Quote changes the Job status from "Quoting" to "In Progress" and the Job will now display in the "In Progress" Job List.
To Change the Contact (Customer) on the Quote Overview Page
If you need to change the “Customer” on a Quote that is in Draft or Locked, you need to change the Contact (Customer) on the Job Overview Page, to do this;
Change the Contact (Customer) on the Job Overview Page
Press [SAVE], the Quote will up-date following the [SAVE]
💡 TIP: If the Quote has been Accepted, you will need to [UNACCEPT] the Quote first, then [ACCEPT] again following changing the Contact (Customer).
⚠️ NOTE: If the Quote has a Variation, you will not be able to [UNACCEPT] the Quote.
