How to enter timesheet worked hours from Katipolt Desktop

Timesheet Worked Hours can be entered into Katipolt from three locations. From the:

  • Pay Period of Katipolt Desktop's Timesheets Side Menu, OR

  • Job of Katipolt Desktop, OR

  • Katipolt Mobile App.

Timesheet Worked Hours of a Pay Period with a valid Job Number display in that Job's Sales & Costs and can be pulled into a Sales Invoice on Get Costs.

Timesheet Hours of a Pay Period (Worked Hours/Approved Leave Hours) populate to a Timesheet Report, which can be downloaded and used for keying hours into Payroll.

⚠️ NOTE: If you have a Xero Payroll API connection, on Locking a Pay Period, the Worked Hours sync to Xero Payroll.

To Enable a User to Enter, Bulk Enter or Edit Timesheets

For a User to be able to Enter, Bulk Enter or Edit Timesheets, they need to be enabled on the Katipolt Desktop side. To do this, they need to be added to a Katipolt Role with permission “Add/Edit Timesheets/Payroll” toggled to "On".

Company Settings > Staff Top Tab > Roles Expandable Section > Select a Role that displays Katipolt “Add/Edit Timesheets/Payroll” toggled to "On" OR from a Role toggle it to "On" > then select the person from the “Assigned To” dropdown to add

⚠️ NOTE: Toggling "Add/Edit Timesheets/Payroll" to "On" also toggles "View Timesheets/Payroll" to "On". You can Toggle just "View Timesheets/Payroll" to "On" which allows a User to View Timesheets/Payroll, but not Enter, Bulk Enter or Edit Timesheets.

To Enter Worked Hours from a Pay Period

Entering Timesheet Worked Hours directly into a Pay Period is done from the Pay Period of Katipolt's Side Menu's Timesheets.

Quick Flow:

  • Timesheets Side Menu

  • Timesheets Top Tab

  • Pay Period

  • Staff Member Expandable Section

  • [+ADD]

  • Worked Time Details

  • [SAVE]

1. From the Side Menu, Press Timesheets, then Press the Timesheets Top Tab to display the Pay Periods List

2. From the Pay Periods List, Press a Pay Period to display the Pay Period XXXX to XXXX Window

3. From the Pay Period XXXX to XXXX Window, Press a Staff Member Expandable Section to expand, then Press the [+ADD] bar to display a new Timesheet Line

4. From the new Timesheet Line, work across the Timesheet Line and Enter Worked Time Details;

  • Select a Timesheet Code

  • Enter/Select a Job number (optional)

  • Enter a Date

  • Enter a Start time

  • Enter a Finish time, and

  • Enter a Break if one taken

  • Enter a Note (optional)

⚠️ NOTE: "Break (mins)" Entry is entered as Minutes.

💡 TIP: Comments added into "Notes", if a Job Number is entered, are available for use on a Sales Invoice of that Job by pressing the launcher icon of the "Job Description" field.

💡 TIP: Pressing the "Tab" key will move you from the current entry field to the next entry field.

5. To add further Time for this Staff Member, Press the [+ADD] bar and repeat step 3 OR to add Time to another Staff Member repeat steps 2 and 3

6. When finished [SAVE]

For Date, and Time Pickers, when the Date Field Icon is Pressed the Date picker displays. When the Time Start or Finish Icons are pressed the Time Picker displays, displaying an Hours picker first, then the Minutes picker.

To Bulk Enter Worked Hours from a Pay Period

Bulk Entering Worked Hours into Timesheets is done from the Side Menu's Timesheets > Timesheets Top Tab.

Quick Flow:

  • Pay Period XXXX to XXXX Window

  • "More" (3 dots) menu > "+Bulk Add"

  • Staff Members

  • Code*

  • Job (optional)

  • Start Date*/End Date*

  • Start*/Finish*

  • [CONFIRM]

  • [SAVE]

1. From the Pay Period XXXX to XXXX Window, Press the “More” (3 dots) menu and Select the option "Bulk Add" to display the Bulk Add Timesheets Popup

2. From the Bulk Add Timesheets Popup;

  • Select Staff from the Staff Members* drop-down

  • Select a Timesheet Code*

  • Enter/Select a Job/Site Visit number (optional)

  • Enter/Select a Start Date*/End Date*

  • Enter/Select a Start*/Finish* time

3. When finished, Press [CONFIRM]

💡 TIP: Following the entry of Timesheets, the Pay Period can be locked by Pressing the dropdown options of the [SAVE] button and selecting "Lock period". To Unlock, Press the dropdown options of the [SAVE] button and select "Unlock period".

To Enter Worked Hours from a Desktop Job

1. From a Job Window, Press the Sales & Costs Top Tab to display the "Timesheets" Expandable, then Press [+ADD] to display the Bulk Add Timesheets Popup

2. From the Bulk Add Timesheets Popup;

  • Select Staff from the Staff Members* drop-down

  • Select a Timesheet Code*

  • Enter/Select a Site Visit if needed

  • Enter/Select a Start Date*/End Date*

  • Enter/Select a Start*/Finish* time

3. When finished, Press [CONFIRM]
