How to add, assign or edit Roles to set Staff Member permission levels

Using Roles and Permissions you can control the Katipolt Desktop and/or Katipolt Mobile App features that a Staff Member can access to view or use.

⚠️ NOTE: No matter what Role (Permission Levels) a User is assigned, only the permissions of their Access Level apply (Katipolt Mobile Only or Katipolt and Katipolt Mobile), I.E. the Role permission selections of Katipolt (Desktop) do not apply if they cannot log into Desktop.

Katipolt has two Master Default Roles, one for Desktop and one for the Mobile App, as defaults these have the toggles greyed and cannot be edited, only have Staff Members assigned/unassigned to/from them.

You can create a new Role that suits your requirements, assign Permissions to the Role, assign Staff Members to that Role, which then allows them to view or use that Role's selected features.

💡 TIP: A Role can be assigned to a Staff Member from that Staff Member's Profile Page, OR a Staff Member can be assigned to a Role from that Role.

⚠️ NOTE: The "Primary Contact" for the Account always has access to Company Settings, so can access Roles to make changes to their, or any Staff Member's Role.

⚠️ NOTE: If a Staff Member has NOT been given an Access Level to Katipolt Desktop, even if they are assigned to a Role that has Katipolt Desktop Permissions, they will not be able to log in to use those permissions. If you want a Staff Member to access Katipolt Desktop and its features, see the Help Article: "Staff Access Level Desktop (Allow – Remove)"

To Add Edit Roles/Permission Levels

Quick Flow:

  • Company Settings Side Menu

  • Staff Top Tab

  • Roles Expandable Section

  • [+ADD] button

  • Role Name

  • Assigned To

  • Katipolt and/or Katipolt Mobile Tabs

  • Permissions toggle to assign/restrict

  • [SAVE]

1. From the Side Menu, Press Company Settings

2. From Company Settings, Press the Staff Top Tab to display the Roles Expandable Section, then from the Roles Expandable Section, Press the [+ADD] button to display the New Role Popup

3. From the New Role Popup;

  • Enter a "Role Name*"

  • From the Assigned To dropdown, Select Staff Member(s) to add to the Role

  • From the Katipolt and/or Katipolt Mobile Tabs, Toggle options to assign/restrict Permissions Levels to a Katipolt feature

  • When finished [SAVE]

💡 TIP: Press the “Katipolt” Tab to view permissions for Katipolt Desktop OR “Katipolt Mobile” Tab to view permissions for the Katipolt Mobile App.

To Edit, open an existing Role and Select/Unselect Staff Member(s) or Toggle options to assign/restrict Permissions Levels to a Katipolt feature.

⚠️ NOTE: A person can only be assigned to 1 Role.

To Add Edit a Role/Permission Levels from a Staff Member

From a Staff Members Profile window:

  • Press the dropdown options icon, then select a Role

💡 TIP: Pressing the Pencil Icon launches the current selected Role allowing you to edit the permissions of that Role. Any permission changes will then apply to ALL Staff assigned to that Role.
