How to internally communicate and have work/job related discussions

This Help Article covers;

Discussion/Comments allow Staff Members to communicate internally with each other, either Globally, or Feature-specific, Generally or Person to Person(s) using Katipolt.

There are 2 types of Discussions;

  • "Global" Discussions - Non-job related and displayed on Katipolt's Top Ribbon

  • "Feature-specific" Discussions - Related to, and displayed on a Job, Quote, Order, Purchase or Sales Invoice in the "Feed" Panel

Global Discussions are initiated from the Top Ribbon of Katipolt.

Feature-specific Discussions are initiated from the "Feed" Panel of a Job, Quote, Order, Purchase or Sales Invoice's Overview Page.

Feature-specific Discussion/Comments provide a place to internally communicate and leave Comments on, or discuss a Job, Quote, Order, Purchase or Sales Invoice. Katipolt Desktop Feed Comments remain on, and displayed in the Job, Quote, Order, Purchase or Sales Invoice Overview Page's “Feed” Panel where the comment was added.

Feature-specific "Job" Discussion/Comments can be had between Katipolt Desktop and the Katipolt Mobile App. Discussion/Comments are displayed in the Katipolt Desktop Job's Overview Page's “Feed” Panel and in the Mobile App's Job Screen's "Discussion" Section.

The Katipolt Desktop "Feed" section also displays the history of a Job, Quote, Order, Purchase or Sales Invoice.

💡 TIP: Discussion Comments and History can be filtered to view one, the other, or both by pressing the Refine Filter button and selecting an option.

Discussion/Comments can be added in 2 ways:

  • "General" Comments – Staff Members don’t get a notification

  • "Tagged User" Comments using @ + Username(s) – Staff Member(s) get a notification

Tagged Desktop Users received Discussion/Comments displayed on their User Notifications, a Red dot with a Number indicating there are Notifications and the number.

Press the "Open notifications" icon to view Discussions/Comments

💡 TIP: Clicking on the Notification Icon will display the Discussion popup where the Staff Member can view the string of Comments or reply without having to close the current page.

To Add a Global Discussion/Comment (Desktop)

Quick Flow:

  • Katipolt's Top Ribbon

  • "Open discussion"

  • Add a comment here” or “Type reply here

  • Enter text

  • Send Icon

1. From Katipolt's Top Ribbon, Press the "Open discussion" icon to launch the Discussion Popup.

2. From the Discussion Popup, Click in the “Add a comment here” entry field to Start a Discussion, OR Click in the “Type reply here” entry field of a current Discussion to Add a Comment, then Press the Send Icon to publish/send your Comment

💡 TIP: Comments entered and sent are delivered to All Users. Using the @ + Username delivers the Comment to the selected Staff Member(s). Pressing the “eye” Icon makes the Comment “Private” between the selected Staff Member(s)

To Add a Feature-specific Discussion/Comment (Desktop)

From the "Feed" Panel of a Job, Quote, Order, Purchase or Sales Invoice's Overview Page, Enter your Comment into the “Add a comment here” entry field and Press the Send Icon to publish/send your Comment

⚠️ NOTE: Comments added on the Job, Quote, Order, Purchase or Sales Invoice Feed Panel will display to all other Users when they open the Page the Comment was added to (unless Discussion/Comments are marked Private).

To Make a Discussion/Comment Private (Desktop)

When Entering a Comment, Tag the User(s), then Press on the “Eye” to make the Comment “Only visible to you and tagged staff” OR leave “Visible to everyone”

OR From the Comment, Press on the "More" (3 dots) menu to make the Comment “Private” OR “Public”

💡 TIP: Private Comments will display a red “Private” badge to Users who are “Tagged” into the Comment. Other Users will not see the Comment.

To Edit or Delete a Discussion/Comment (Desktop)

From the Discussions Popup or Feeds Panel, Hover over the Comment to display the “More” (3 dots) menu, then Click the “More” (3 dots) menu and Select either Edit or Delete

To View Feed Discussion/Comments (Desktop)

Katipolt Desktop added Comments display in the Feed Panel of the Overview Page they were added to: Job, Quote, Order, Purchase or Sales Invoice.

Katipolt Mobile added Comments display in the Feed Panel of the "Job" they were added to (as Mobile App Users can only see Jobs).

To View and/or Use "Job/Timesheet" Comments (Desktop)

From the Sales Invoice Page

From a Sales Invoice Page's Feed Panel, Press on the Discussion Icon to launch the Job Discussions popup to view any Comments added from the Katipolt Desktop Job Page.

From a Sales Invoice Page's Job Description field, Press on the Timesheet Comment Icon to launch the Comments popup where Timesheet Comments or Job Comments can be viewed and added to the Sales Invoice Job Description

💡 TIP: A red dot on the Timesheet Comment Icon indicates there are Timesheet Comments or Discussion Comments available.

To Add a Global Discussion/Comment (Mobile App)

1. From the Mobile App's Menu options, Press the Discussion Sub-menu to display the Discussions Screen

2. From the Discussion Screen, Tap in the “Add a comment here” entry field to Start a Discussion, OR Tap on a current Discussion, then Tap in the “Reply to XXXX” entry field to Add a Comment, then Press the Send Icon to publish/send your Comment

To Add a "Job" Discussion/Comment (Mobile App)

Adding a Comment to a Job from the Katipolt Mobile App is done from that Job's Discussion Screen

From the Job Screen, Tap [Add Comment] to display the Discussion Screen, then Enter your Comment into the “Add a comment here” entry field and Tap the Send Icon to publish/send your Comment

To Make a Discussion/Comment Private (Mobile App)

When Entering a Comment, Tag the User(s), then Press on the “Eye” to make the Comment “Only visible to you and tagged staff” OR leave “Visible to everyone”

To Edit or Delete a Discussion/Comment (Mobile App)

From the Discussion Screen, Tap on the Comment, then Tap on your Username, then Tap either Edit or Delete, if Editing, Press the Tick to Save editing

💡 TIP: You can only Edit or Delete Comments that you have made.

To View Global Discussion/Comments (Mobile App)

“Global” General Discussion/Comments will display;

  • On a User’s Mobile Device’s Notification Alerts,

  • In the Katipolt Mobile App’s Discussion Screen, and

  • In the Katipolt Mobile App’s Notifications Screen,

“Global” Tagged User Discussion/Comments will display;

  • On the Tagged User(s) Mobile Device’s Notification Alerts,

  • In the Katipolt Mobile App’s Discussion Screen, and

  • In the Katipolt Mobile App’s Notifications Screen

From the Katipolt Mobile App's Menu, either; Tap Discussion to go directly to the Discussion Screen and view the Comment OR Tap Notifications to go to the Notification Screen to find the Notification, then Tap the Notification to go to the Discussion Screen and view the Comment

To View "Job" Discussion/Comments (Mobile App)

“Job” General Discussion/Comments of a Job will display on the Job’s Discussion Screen

"Job” Tagged User Discussion/Comments will display;

  • On the Tagged User(s) Mobile Device’s Notification Alerts,

  • In the Katipolt Mobile App’s Notifications Screen, and

  • On the Job’s Discussion Section OR Job's Discussion Screen (VIEW ALL)

From the Katipolt Mobile App's Job Screen, either; Press on [Add Comment] to view the Discussion Screen, OR Scroll down to the Job Screen's Discussion Section

💡 TIP: Press (VIEW ALL) to view the Discussion Screen and view all comments.
