How to create a Charge Up Invoice on an Accepted Quoted Job

Normally Accepted Quoted Jobs are Invoiced using Progress Claims that use percentages of the Quoted Amount, however from time to time you may need to do work outside the scope of the Quote which the Customer may ask you to Invoice separately to the Quoted work.

Often the Costs of that work have been included in the Quoted Job, and extracting the costs may be a difficult task, so Charge Up Invoices on an Accepted Quoted Job do not have a “Get Costs” feature to pull in Products and rely on your building the Charge Up Invoice from scratch.

As the Costs are assumed to already be on the Quote Job, the Sell value of the "Charge Up Invoices to Date" is added to the Profit & Loss display of the Quoted Job as a separate line to the “Payment Claims to Date”, to give clearer and accurate reporting.

⚠️ NOTE: The “Charge Up Invoices to Date” line will only display following a Charge Up Sales Invoice being created and locked.

To Add a Sales Invoice to an Accepted Quoted Job

1. From the Sales/Payment Claims Expandable Section, Press the [+ADD] button’s dropdown and Select “Add Charge Up Invoice” to launch the New Invoice Page

2. From the New Invoice Page check the Job Details Section, then [SAVE]

3. Enter Labour and/or Product(s) to manually build the Charge Up Invoice

4. When finished Press [SAVE]

⚠️ NOTE: The Charge Up Invoice of an Accepted Quoted Job does not have a [GET COSTS] button, you will need to build the Charge Up Invoice manually based on the Labour and/or Product used.

To Identify Labour/Products Used for a Quoted Job Charge Up Invoice

Labour/Materials can be viewed at the Quoted Job’s Sales & Costs Top Tab’s “Latest Costs” Expandable Section;

If the Labour/Products were added AFTER the last Progress Claim they will be displayed in the “Latest Costs” Expandable Section's List of Labour/Materials/Other

If the Labour/Products were added BEFORE the last Progress Claim, Press the “Billable Only” filter [X] of the “Latest Costs” Expandable Section to clear the filter and display a List of all Labour/Materials/Other used

If you have used Site Visits the Labour/Materials/Other will be grouped by Site Visit, OR open the Quoted Job’s Site Visits Top Tab, then open the Site Visit, to view the "Lastest Costs" of that Site Visit

💡 TIP: By using two Browser Tabs you can Copy the Labour/Materials/Other Codes from the “Latest Costs” Expandable Section and Paste (Ctrl + V) into the Charge Up Invoice.
