How to enter and set the default Email wording of Emails

This Help Article covers:

Email Text Templates are Text that can be used to populate the body of an email when sending.

Email Text Templates if entered as a Job or Customer Template can be used when sending general emails to a Customer.

Email Text Templates if entered as a Quote, Sales or Order Template can be selected as the Default Email Template when sending that document by email, or is available to select at the Document when sending the email.

⚠️ NOTE: Bracketed Insert Variable Text (text within braces { } ) is used to pull system text into the wording, it is recommended not to delete or change this (I.E. wording such as: the Company Name, the Logged-in User's Name, Quote’s Description, Date etc).

Quick Flow:

  • Company Settings Side Menu

  • Correspondence Top Tab

  • Email Settings Expandable Section

  • Type TemplateTab

  • [ADD]

  • Name*

  • Template Text

  • [SAVE]

1. From the Side Menu, Press Company Settings

2. From Company Settings, Press the Correspondence Top Tab to display the Email Settings Expandable Section

3. From the Emails Settings Expandable Section, Work across the Document "Type" Template Tabs (Job, Quote, Sale, Order, and/or Customer Templates), then Press [ADD] to display the "New XXXX Email Template" popup for the selected type

⚠️ NOTE: The Common Settings Tab is where you set the Default Theme of the Email.

4. From "New XXXX Email Template" popup, Enter a Name* for the Email Template, then Enter the Template Text

5. When finished [SAVE]

To Change Email Template at Email

From the Document Email

1. From the Document's Email popup, Press the Email Template button to display the options, then Select the required option.

From a Correspondence Top Tab

1. Following Pressing the "SEND EMAIL" of the "Emails" Expandable Section, Press the Email Template button to display the options, then Select the required option.
