Why emails are going to spam and what you can do about it

Over the past year, we have made several changes to how emails are sent. These have been necessary to comply with ever-changing email compliance and industry best practices. Overall we have seen a decrease in the spam rate but some customers may still experience emails going through to their spam inbox.

There is no sure-fire way to avoid spam filters as each mail provider is different, but there are some steps you can take to reduce that even further.

Provide identifying information

In order to differentiate your email from the typical fake invoice scam email, you should include as much identifying information as possible. By default, we include some information in our wording templates but this can be further improved by using our provided HTML email templates (more on that below).

Avoid using buttons

Some email providers provide top-level spam filters that are much more likely to mark emails containing buttons as spam. Consider using links with the text set to the same value as the link address instead.

Use your own email domain

Popular free email domains such as Hotmail and gmail are commonly used by spammers. Using the same domain as your company website can improve trust with the added benefit of looking more professional.

Add more content

Emails with only one or two sentences are more likely to be filtered into spam than those with more content. Adding additional wording such as disclaimers or other notes can help reduce the likelihood of a message being marked as spam.


Ask your contact to update their email settings

While the above steps can help reduce the rate at which emails are marked as spam, the best way to ensure emails are delivered is to ask your customers to add system@mailer.katipolt.com to their safe senders list. Business customers may need their IT department to do this for them.

Use the provided email templates in Katipolt

A default HTML email template for all emails sent out of Katipolt can be set from Company Settings. Our modern email templates both automatically include additional company information such as website address.
