⚠️ NOTE: If you have already entered Contacts into Katipolt, ensure they are spelled the same in Katipolt and Xero so they pair on connection and you don’t create a double up of Contacts. Copying & Pasting from Xero to Katipolt is a good way to ensure they are spelt the same.
To Connect to Xero
Open Xero on the computer you are about to do the connection from.
1. From Katipolt go to Company Settings > Connected Apps Top Tab, then Press [+ADD] to display the "NEW CONNECTED APP" Window
2. From the "NEW CONNECTED APP" Window, Press the "Type*" dropdown and Select the option "Accounting" to display the [Connect to Xero] button
3. Press the [Connect to Xero] button
4. You will see a popup asking you what Xero to connect to, and asking you to “Allow”, Select a Xero to connect to, then Press “Allow” to connect and return you to the "CONNECTED APP: XERO (XXXX)" Window.
To send Sales Invoices to Xero
5. Enter a “Customer Invoices Transition Date”
💡 TIP: Any Sales Invoices Added in Katipolt with a Date after the "Customer Invoices Transition Date", on [Lock], will be synced to Xero.
To send Purchase Invoices to Xero
6. Press the “Export Supplier Invoices to Accounting” field dropdown to select an option; All, Manual Only or API Only.
All – All Purchase Invoices in Katipolt will sync to Xero
Manual Only – Only Purchase Invoices you manually “key in” or manually "import" will sync to Xero (prevents J.A. Russell Ltd API Purchase Invoices from being sent to Xero if you account by entering your J.A. Russell Ltd Statement into Xero)
API Only – Only the J.A. Russell Ltd Purchase Invoices picked up daily will sync to Xero
7. Then, Enter a “Supplier Invoices Transition Date”
8. When you have selected/entered the settings, Press [SAVE]
💡 TIP: Press the "X" of the "Export Supplier Invoices to Accounting" OR don't enter a "Supplier Invoices Transition Date" if you don't want your Purchase Invoice going to Xero.
💡 TIP: Depending on your selections/entries, your Sales and/or Purchase Invoices will start syncing to Xero, this may take a short while depending on the number to be synced.
