How to Add, Enable, Un-enable or Rename options to Job Stage Picklists

This Help Article covers;

Picklist options display in the “Job Stage” and “Work Type” dropdown fields of a Job

To Enter a “Job Stage” OR “Work Type” Picklist option

Quick Flow:

  • Company Settings Side Menu

  • Default Top Tab

  • Jobs Expandable Section

  • Picklist (“Job Stages” OR “Work Types” Tab)

  • [EDIT]

  • Category

  • [OK]

  • Name

  • [SAVE]

1. From the Side Menu, Press Company Settings

2. From Company Settings, Press the Default Top Tab, to display the Jobs Expandable Section

3. From the Jobs Expandable Section, Select the Picklist you want the option to display on (“Job Stages” or “Work Types” Tab), then Press [EDIT] to display the Editing Popup

4. From the Editing Popup, Press [+ADD] to display the "Select a category" popup if “Job Stages” is selected, OR display a New Picklist option line if “Work Types” is selected

4.1. From the Select a category popup, select a Category, then Press [OK] to display the New Picklist option line

💡 TIP: Categories are used for “Job Stages” to limit the displayed options at different stages of the Job life cycle.

5. From the New Picklist option line, give the option a Name, then Press [SAVE] of the Editing popup

The new Picklist option will display in the selected Picklist dropdown of a Job

To Set the Default Picklist option display for Job Stages

The Default Picklist display for a Job Stage can be set for:

  • New Jobs,

  • Quoting Jobs,

  • Active Jobs,

  • Booked Jobs, and

  • Completed Jobs

1. From the Jobs Expandable Section, Select the Job Stage Settings Tab, then from the different Job Stage fields, Select the Default Job Stage display option

⚠️ NOTE: From a New Job, if you create a Quote, the New Job Stage auto changes to the Quote Job Stage, and if you add a Booking, the New Job Stage auto changes to the Booked Job Stage

💡 TIP: You could default a new Job to “New Job – Not Booked” or manually change it to “New Job – To Be Quote”, then when a Booking is made it auto changes to “In Progress – Booked” or if a Quote is Added it auto changes to “Quoting”

To Enable/Unenable Picklist option(s)

Enabling/Unenabling Picklist option is a way of limiting the options available for selection from the Picklist OR hiding redundant options (deleting or renaming will affect all previous Jobs where the option has been used)

⚠️ NOTE: When launching the Editing Popup, the default display is the Enabled Picklist options only.

To Unenable Picklist options

1. From the Editing Popup, Press the Toggle of a Picklist option to Toggle "Off" (to not display as an option in Picklists), then Press [SAVE]

⚠️ NOTE: Picklist options set as Default cannot be toggled "Off", you will need to set another Default Picklist option first, then you can Toggle "Off"

To Enable existing Picklist options

1. From the Editing Popup, Clear the [Enabled only] filter to display all Picklist options

2. From the Editing Popup, Press the Toggle of a Picklist option to Toggle "On" (to display as an option in Picklists), then Press [SAVE]

To Rename a Picklist option

1. From a Picklist line, Press the More (3 dots) button, then select the option Rename to display the Rename popup

2. The Rename popup will inform you that “Changing this option will affect all existing users” and ask if you want to proceed. If you want to proceed enter “YES”, then Press [RENAME]

From the Picklist line to be renamed, rename the option, then Press [SAVE] of the Editing Popup
