When formatting Files to Import or Reports to use, saving as an MS Excel Workbook makes it easier to format. You can use MS functions or manually colour cells to keep track of your formatting, and should you need to stop, you can save and retain your formatting tracking so when you open the MS Workbook next time, you know what you have done and what is to be done.
To Save As "Excel Workbook (* .xlsx)" / "CSV (Comma delimited) (* .csv)"
1. From the Worksheet Top Tabs, Press File to display the Workbook Options, then Press Save As to display the Save As Options
2. From the Save As Options, from the file type dropdown, Select either "Excel Workbook (* .xlsx)" OR "CSV (Comma delimited) (* .csv)", then Press [Save]
To Insert/Delete a Row/Column
To Insert/Delete a Row
Right Click on the Row Number, then Select Option Insert/Delete as required
To Insert/Delete a Column
Right Click on the Column Letter, then Select Option Insert/Delete as required
💡 TIP: When Inserting Rows/Columns, Rows Insert above the selected Row, and Columns insert to the left of the selected column.
To Move Columns
Columns are moved by either:
Cut/Copy & Paste - Pasting will overwrite the selected column with the Cut/Copied data
Cut/Copy & Insert - Inserting creates a new column to the Left of the selected column to insert the Cut/Copied data
1. From the Column to be moved, Right Click on the Column Letter, then Select Option Cut/Copy as required
2. From the location where the Column is to be moved to, Right Click on the Column Letter, then either Select Option:
Paste to overwrite the selected Column with the Cut/Copied data, OR
Insert to insert a new Column to the Left of the selected Column and insert the Cut/Copied data
Column Filter Function
1. Click on the top Row Number "1" to select the Row
2. From the Worksheet Top Tabs, Press Home to display the Home Ribbon, then Press Function Sort & Filter to display the Options and Select Option Filter
💡 TIP: Row 1 of the Worksheet will display a Column Filter Dropdown in each Column.
To Filter a Column
Click the Column Filter Dropdown to display the Options, then Select an Option to suit
Conditional Formatting Function
1. From the Worksheet Top Tabs, Press Home to display the Home Ribbon, then Press Function Conditional Formatting to display the Options, then hover over Option Highlight Cell Rules to display the Sub-Options and Select the Sub-Option Duplicate Values...
2. From the Duplicate Values Popup, Pess [OK]
💡 TIP: Duplicate Values in the selected column will be highlighted by the cell(s) being coloured Light Red.
Character Count Function =LEN(XX)
1. In a free cell of the Row that you want to check the Character Count of a cell, Enter "=LEN()"
2. Place the Cursor in the Brackets (I) of the entered =LEN(), then Click in the Cell to have the Character Count (the cell's Column Letter/Row Number will display)
3. Press the Enter Key of the Keyboard to display the Character Count.
To Character Count Multiple Cells
To check multiple cells, Click in the cell you entered the "=LEN(XX)" function, Grab the bottom right corner and drag down the Worksheet, then Drop to display the Multiple cell Character Count
Find Function
1. From the Worksheet Top Tabs, Press Home to display the Home Ribbon, then Press Function Find & Select to display the Find and Replace Popup
2. From the Find and Replace Popup, Enter the text you are looking for, then Press [Find Next]
💡 TIP: Any found text matching the entry will be displayed. To find any other instances of the entered text, Press [Find Next] again.
To Format Cells
1. Click in the corner of the Wooksheet where the Rows and Headers labeling meet to highlight all cells
2. From the Worksheet Top Tabs, Press Home to display the Home Ribbon, then Press the Alignment Section expander to display the Format Cells Popup
3. From the Format Cells Popup, Press on the Number Top Tab, then Select Option General, then Press [OK] to save
To Move a Cell & Text
1. Click in the Cell & Text to be moved, then hover the Cursor over the edge of the Cell
2. Click on the Edge of the Cell to Grab, then Drag & Drop the Cell at the desired location
